Job Description: Coordinator, Upper Susquehanna Quarter Society of Friends

Specific areas of work:
1. Building Community Within the Quarter (65% of time)
A. Communication:
* improve the flow of information between monthly meetings and with other subgroups within our Quarter. (For example: the Quarterly Oversight Committee, the Young Friends program, the Muncy prison meeting for worship, worship and ministry clerks, overseers, etc.) There is a need to be proactive with communication
* make available a published list of clerks and committee clerks of the monthly meetings and distribute to all clerks of the quarter
* build and maintain a list of adults certified to be Friendly Adult Presences and a list of those who are willing to offer particular skills for workshops or group gatherings
* publish on the web and e-mail a brief USQM Newsletter every three months with information on coming events, reports on completed events, and news contributed by clerks, etc.
* maintain a USQM database which is to include addresses and phone numbers of all members and long-time attenders at a minimum.
* serve as Webmaster for the Quarter's website. Encourage its use as a communication vehicle by sending out regular announcements of items recently updated.
B. Visitation:
*Nurture community in the Quarter through personal visitation to Monthly Meetings on a regular schedule. Make an effort to visit committee meetings and meetings for business.
*Encourage Quarterly Meeting Friends to intervisit.
C. Quarterly Gathering
* Be a member of the committee designated for planning an annual weekend gathering of the Quarter, and support the clerk of this committee in getting these tasks done.
D. Coordination with Yearly Meeting
* Nurture the individual, Monthly Meeting and the Quarter's relationship with Yearly Meeting through communication and visitation
* Catalyze and coordinate monthly meetings and individuals in accessing the resources of Yearly Meeting
* Catalyze USQ individuals in participation in Yearly Meeting Committees when appropriate
* Serve in Yearly Meeting staff work when requested by Philadelphia Yearly Meeting. Example: support work during Annual Sessions; support work for the YM Worship and Ministry Committee; attendance of Interim Meeting and Regional Staff meeting; assist the Spiritual Formation Program Working Group
*Serve as ex-officio member of PYM Nominating Committee
* Attend Interim Meeting whenever possible and report to USQM by e-mail
2. Younger, Young, and Young Adult Friends Program (35% of time)
A. Younger Friends Program (8 to 13 years of age)
* Organize USQM individuals to hold weekend or one day gatherings for younger friends.
* Unite, when possible, with Yearly Meeting youth programs
* Canvas the Quarter personally for interested volunteers. For example, contact adults involved with Religious Education committees, or parents of appropriate age children.
* Gather volunteers and help them plan and conduct such weekends. Offer training, as appropriate.
* Attend younger Friends gatherings, when possible, and encourage the coordinator of the event to send a report to QOC
* Ensure that all USQM requirements for support and safety policies are followed at these events
B. Young Friends Program (14 to 18 years of age)
* Serve as administrator of a Young Friends program by helping to organize events, ensuring that all Friendly Adult Presences have clearances and that participants follow the requirements of the USQM safety policy
* Bring ideas from the wider Quaker community for activities for the Young Friends
* Attend these weekends occasionally as an adult friendly presence in order to get to know members of the community and to ensure that USQM requirements are followed
C. Young Adult Friends
* Work, with the support of PYM staff, to provide community events for young adult Friends in the quarter.
3. Professional and Spiritual Development
* Present an annual report to QOC on ways you have paid attention to your spiritual life
* Have a personal, spiritual oversight committee and meet with them periodically
Note on accountability: The coordinator will be accountable to the Quarterly Oversight Committee. This committee will supply the guidance, support and regular feedback necessary to sustain the coordinator and ensure the integrity of the job description. An annual job evaluation will be conducted in June of each year, and a report will be sent to Philadelphia Yearly Meeting and each Monthly Meeting in the quarter that summarizes the work of the previous year.
It would be essential that this committee, in concert with the coordinator, project as realistically as possible the amount of hours per week or month that should ideally be spent on each of the above functions. This projection would be reviewed regularly by the Coordinator and the Quarterly Oversight Committee and revised as necessary.
