Communications to Membership

The PYM staff is happy to assist the Councils and sub-structures in facilitating communications about their work and events to Friends in the Yearly Meeting.

Online Communications

PYM Councils and sub-structures may fill out a single form to publicize an event on the PYM website and other online communications.  To submit your event publicity, simply gather the details of your event, then visit  Publicize my Event to fill out the form. PYM staff will publicize your event in one or more the appropriate venues listed here, as time and deadlines allow:

Calendar of Events

The PYM Calendar is the place for Quaker events in the Philadelphia Yearly Meeting region. These events are one of the primary ways we come together as a community. Events for the calendar are posted on a rolling basis; there is no set deadline.

PYM Website-News Postings

PYM Staff may be able to post your event as a news item, if it is received at least 30 days in advance.

PYM Social Media Policy and Guidelines for Groups

In addition to using the primary PYM communication channels of the website, news, calendar, online newsletters, and Faith in Practice, many Friends find it useful to use social media to communicate their work and witness. This guide is an explanation of the rules and expectations for use of social media that all PYM groups must follow.

Monthly Meeting News and Events E-mail

PYM sends a monthly update to Monthly Meeting Newsletter Editors and Website Managers. Event notices intended for inclusion in this update need to be submitted 60 days prior to the first day in the month of the event.

PYM Today Online

This is a monthly online publication that gets emailed to the membership. There may be room for a short article by a Council or sub-structure on its news or upcoming events. The current deadline for submissions is the 15th of every month.

Threadletters

Current PYM Threadletters include: Finance, First Day School, Friends Education, Pastoral Care, Peace & Social Concerns, Worship & Ministry and Youth. Events will be included in the relevant threadletter as deadlines allow. Threadletters are published in the following, loosely-held schedule: odd numbered months except July; Communications, Friends Education and Finance are published twice annually.

Council and Sub-structure Webpages

Philadelphia Yearly Meeting’s new web platform will enable PYM groups to have a greater degree of control in managing their own webpages and posting information and events there. Contact communications@pym.org to learn more.

Print Communications

PYM Staff can support PYM Committees and working groups in producing flyers. The more time you allow for turn-around, the more likely the staff will be able to meet your request. If you wish to have flyers  printed please indicate that on the “Publicize My Event” form.

Editing Documents

PYM administrative office staff can assist with the Councils and approved sub-structures with minor editing to documents. Editing is limited to formatting and grammatical changes; the PYM staff does not edit for content, or create content.

For editing documents, staff follows both the Quaker Manual of Style and Glossary, and our internal, PYM Style Guide. Please allow at least one week’s notice for editing requests. Occasionally, some requests will require more time for completion. The more time you allow for turn-around, the more likely the staff will be able to meet your request.

Postal Mailings and Labels

For the Councils and some of the sub-structures (listed below), PYM administrative office staff can prepare most of the component pieces of a mass mailing, including gathering the information for and printing mailing labels, printing the document to be sent on letterhead, providing envelopes and the use of a postage machine (charged to the appropriate Council or sub-structure).

For the Councils and approved sub-structures), PYM administrative office staff can stuff up to 100 pieces of mail. Stuffing of more than 100 pieces of mail will be the responsibility of the requesting Council or sub-structure. Please allow at least two weeks’ notice for mailing and label requests. Labels require accessing our database; if a Council or sub-structure requests this support, they will need to complete a database request form. It is the responsibility of the Council or sub-structure to actually get the mailing out.

Flyers

Some structures and sub-structures wish to have flyers about their work or upcoming events available for general use or for distribution at a particular event.

• All flyers must follow PYM’s Visual Identity Guide.
• Office Assistant staff can print flyers in the office and have them ready to be transported to a particular location or event by working group or committee members. Please allow at least one week’s notice for printing requests.

Design Requests:
This includes flyers, posters, brochures, including the PYM logo on something, etc. Please note that we almost always need at least two weeks’ notice to complete a request. This is all the more reason to give as much time as possible on a request. Lastly, some requests may be more complicated than fit within available time for new projects. In which case, we would need to explore ways of simplifying your request or, in exceptional cases, sending your project to an outside firm. For design requests please use our online form.

Guidelines

For the care of our community, all materials may be reviewed and edited by PYM Communications staff. If you are preparing a flyer or communication on behalf of a PYM working group or committee, please follow the guidelines laid out in PYM’s Visual Identity Guide.

PYM Today

This print publication is mailed to member and attender households twice annually and may be able to accommodate an article by a working group or committee on its news, recent events, or upcoming events.
